Enter stand revenue after an event
Before you can settle an event and distribute earnings to families, you need to record the revenue each concession stand generated. This guide explains what each revenue field means, how to enter the data, and how the three inputs work together during settlement.
Prerequisites
- The event status must be Completed.
- You must have the Admin role or a role with
event_management.create_edit_eventspermission.
The three revenue inputs
Each stand has three revenue fields. You do not need to fill in all three -- only enter the values that apply to your event.
| Field | What to enter |
|---|---|
| Total commission | The gross revenue earned at this stand. This is typically the total reported by the venue or your point-of-sale system. |
| CC tips | Credit card tips collected at this stand, if tracked separately from commission. |
| Per-person rate | A flat dollar amount paid per attended worker. This is set at the event level (not per stand) and applies uniformly across all stands. |
Per-person rate is an event-level setting, not a stand-level field. If your venue pays a flat rate per worker (for example, $15 per person), set that value when creating or editing the event. It does not need to be re-entered per stand.
How the three inputs combine in settlement
During settlement, StandShare adds all three revenue sources together to calculate total event income before applying any fund deductions:
Total Revenue = Stand commissions (all stands) + CC tips (all stands) + Per-person amount
Per-person amount = Per-person rate × Number of attended workers
For example, if two stands each earn $800 in commission, $50 in CC tips, and the event has a $15 per-person rate with 20 attended workers:
| Source | Amount |
|---|---|
| Stand 1 commission | $800.00 |
| Stand 2 commission | $800.00 |
| CC tips (both stands) | $100.00 |
| Per-person ($15 × 20) | $300.00 |
| Total Revenue | $2,000.00 |
Fund deductions (General Fund, Board Fund, insurance) are then subtracted from this total before dividing the remainder equally among attended workers. For the full calculation, see How Commissions and Fund Distribution Work.
Enter revenue for a stand
- Navigate to Events and locate the completed event.
- Expand the event row to open the inline detail panel.
- Scroll to the Stands section.
- For each stand, click the stand to open its detail view.
- Enter the Total commission amount.
- Enter the CC tips amount (if applicable).
- Click Save.
Repeat for each stand at the event.
If a stand had zero revenue (for example, a stand that was unstaffed), leave the commission and tips fields at zero rather than leaving them blank. Zero values are treated as intentional; blank fields may cause settlement warnings.
Verify revenue before settling
Before running settlement, review the stand totals to catch data entry errors:
- Open the event's inline detail panel.
- In the Stands section, confirm each stand shows the expected commission and tip values.
- Check the event's Per-person rate field matches the amount your venue pays.
- Confirm worker attendance is recorded accurately -- per-person amounts only apply to workers with Attended status.
Once revenue and attendance look correct, proceed to settlement.
