Add and configure concession stands
Stands represent the physical concession stand locations within an event venue. Workers are assigned to specific stands, and financial data (commission and tips) is recorded per stand during settlement.
Prerequisites
- You must have the Admin role or a role with
event_management.create_edit_eventspermission.
Stand naming conventions
Consistent stand names make it easier for workers to find their assigned location and for admins to read settlement reports.
Recommended practices:
- Use location codes — Include a directional or physical reference in the name so workers can orient themselves without a map. Examples: "Stand 1 - North Gate", "Gate B - Lobby", "Concourse East".
- Number sequentially — If a venue has multiple stands with no distinct landmarks, number them in the order they appear (Stand 1, Stand 2, Stand 3). Avoid gaps or reuse of numbers at the same venue.
- Keep names short — Settlement reports display stand names in narrow columns. Names longer than 20-25 characters may be truncated. Prefer "North Concourse" over "North Concourse Level 2 Near Restrooms".
- Be consistent across events — If Stand 4 is always the snack bar near the main entrance, name it the same way every time. Inconsistent names create confusion in historical reports.
Display order
Stands appear in the order they were added to the event. To control the display order, add stands in the sequence you want them to appear. There is no drag-to-reorder within the stand list — if order matters, plan your additions accordingly.
Many organizations find it useful to add stands in physical order around the venue (e.g., starting at the main entrance and moving clockwise). This makes the stand list easier to scan when assigning workers.
Where stand management lives
Stand CRUD (add / edit / delete) is part of the Edit Event modal's Stands tab. The tab is read-only when the event has already been settled — historical stand counts stay intact.
Workers assigned to a specific stand see a read-only Stand #X chip on the Event Detail page so they know where to show up. The signup sheet no longer contains stand management controls.
Adding stands to an event
- Navigate to the event you want to manage (from the Events page).
- Click Edit Event to open the modal.
- Open the Stands tab.
- Click Add Stand.
- Enter the Stand number or label — this identifies the physical location (for example, "Stand 4", "Gate B", or "North Concourse").
- Optionally set a Max workers cap to limit how many workers can be assigned to this stand.
- Click Save.
Repeat for each stand at the venue. An event can have multiple stands, and each stand tracks its own financial data independently.
Editing a stand
- Open Edit Event and switch to the Stands tab.
- Click the stand row.
- Update the stand number, label, or max workers as needed.
- Click Save.
Removing a stand
- Open Edit Event and switch to the Stands tab.
- Click Remove or Delete on the stand entry.
- Confirm the removal.
Removing a stand also removes all worker assignments linked to that stand. If workers have already been assigned, reassign them to other stands before removing.
Stand financial data
During event settlement, you enter financial data per stand:
- Total commission -- the gross revenue earned at this stand
- CC tips -- credit card tips earned at this stand
These values feed into the settlement engine, which distributes earnings to the families whose workers staffed the stand. See Settle Events for the full settlement process.
Associating stands with venues
If your organization uses the venue management feature, stands can be associated with venue layouts. This lets you reuse stand configurations across events at the same venue.
- Navigate to Administration and then Venues.
- Select the venue and view its stand layout.
- Define default stands for the venue -- these serve as templates when creating events at that venue.
When you create a new event at a venue with a defined layout, the stands are pre-populated based on the venue's configuration. You can still add, remove, or modify stands for individual events.
