View all family account balances
The family balances report gives administrators a comprehensive view of every family's current account balance, with summary statistics and export capabilities.
Prerequisites
- You must have the Admin role or a role with
family_account.view_allpermission.
Accessing the report
- Navigate to Financial Reports from the admin navigation.
- Select the Balances tab.
Understanding the summary cards
At the top of the report, four summary cards provide an at-a-glance overview:
| Card | What it shows |
|---|---|
| Total Families | The number of families included in the report |
| Total Balance | The sum of all family account balances |
| Average Balance | The mean balance across all families |
| Negative Balances | The count of families with a balance below zero |
Browsing and searching
- Use the search box to filter by family name or program. The list updates as you type.
- Click the Family column header to sort alphabetically (ascending or descending).
- Click the Balance column header to sort by balance amount.
Each row in the table shows:
- Family name
- Program -- the activity or program the family is associated with
- Status -- active or inactive
- Balance -- the current account balance, color-coded green for positive and red for negative
Interpreting balances
- A positive balance means the family has earned more than they have withdrawn. These funds are available for scholarship requests.
- A negative balance indicates the family owes the organization (for example, due to fee assessments or reversed transactions).
- A zero balance means all earned funds have been disbursed or the family has not yet participated in any events.
Exporting to CSV
- Click the Export CSV button above the table.
- A CSV file downloads immediately with columns for Family, Program, Status, and Balance.
- The file is named
family-balances-YYYY-MM-DD.csvusing the current date.
The export includes all families matching your current search filter. Clear the search box before exporting if you want the complete list.
