Get started as a Venue Operator
This guide walks you through your first five minutes in StandShare as a venue operator. By the end, you will know how to navigate the Operator Portal, understand your dashboard metrics, and find the tools you need for day-to-day venue management.
Prerequisites
- You have received an invitation email from a StandShare platform administrator.
- You have set your password and, if required, configured multi-factor authentication (MFA).
Step 1: Log In
- Open the link provided in your invitation email, or navigate to your organization's StandShare URL (for example,
yourorg.standshare.app). - Enter your email address and password.
- If MFA is enabled, complete the verification step.
After login, StandShare detects that your account belongs to an operator organization and loads the Operator Portal automatically. You will see an "Operator" badge next to your organization name in the top navigation bar.
Step 2: Tour the Operator Dashboard
The dashboard is the first screen you see after login. It provides a high-level summary of your operation:

| Managed Venues | The number of venues (concession stands, facilities) linked to your organization. |
| Staff Members | The total number of staff members in your operator organization. |
| Upcoming Events | The count of scheduled events at your venues that have not yet occurred. |
Below the summary cards you will find:
- Managed Venues section -- Displays your facility type (e.g., "concession stand", "stadium"), capacity, and any special instructions set by the platform administrator.
- Quick Actions -- Shortcuts to common tasks such as inviting new staff members.
Step 3: Understand the Navigation
The top navigation bar contains five sections:

On mobile devices, tap the hamburger menu icon to expand the navigation links.
Additional operator-specific pages are accessible from within these sections:
- Compliance (
/operator/compliance) -- Manage document requirements and monitor tenant compliance. - Groups (
/operator/groups) -- View and manage the NPO groups that operate at your venues. - Tenant Search -- Find and review tenant organizations connected to your venues.
- Check-In Dashboard -- Monitor real-time worker check-in during events.
- Scanner -- Use the QR scanner PWA to check in workers on event day.
Step 4: Review Your Compliance Requirements
Navigate to Compliance (accessible from the Venues or Settings area, or directly at /operator/compliance). The Compliance page has four tabs:
- Requirements -- Document requirements that tenant organizations must fulfill before working your venues.
- Tenant Compliance -- A table showing each tenant's compliance status (Compliant, Pending, or Non-Compliant).
- Worker Compliance -- Individual worker compliance tracking.
- Settings -- Configure compliance deadlines and notification preferences.
If no requirements have been created yet, you will see a prompt to create your first one.
How Operators Differ from NPO Admins
If you have previously used StandShare as an NPO administrator, there are several key differences in the operator experience:

| Creates events and assigns workers from their own organization. | Views events scheduled at their venues by multiple NPO tenants. |

| Uses the standard navigation with sidebar. | Uses the Operator Portal navigation with a top navigation bar and "Operator" badge. |
| Accesses financial reports, settlement, and ledger tools. | Accesses compliance dashboards, coverage grids, and check-in tools. |
