Join a StandShare org from a QR invite
Organizations use StandShare invites to bring new families in without the manual back-and-forth of collecting email addresses. This guide walks through what happens when you scan an invite QR code or open an invite link someone shared with you.
Open the Invite
An invite can reach you in two ways:
- QR code — printed on a flyer, shown at a booth, or displayed on someone's phone. Scan it with your phone's camera app.
- Link — pasted into a text, email, or chat message. Tap or click it.
Either path opens the /join landing page in your browser. The page works well on a phone and does not require the StandShare app.
If the invite has problems, the page tells you plainly — expired, already used, revoked, or not found. When that happens, ask the person who shared the invite for a fresh one.
Review the Invite Details
The /join page shows:
- Organization name — the org inviting you.
- Inviter name — who sent the invite.
- Expiry date — when the invite stops working.
- What this invite is for — either joining the org as a new family, or being added to an existing family.
Two Kinds of Invites
| Intent | What it means |
|---|---|
| Join the org | You are starting a new family account. You will become the family lead and can add students and guest workers. |
| Help my family | You are being added to an existing family in the org. The family lead sent you this invite to share the load. |
The page wording matches the invite type so there is no guessing about what you are about to accept.
Accept the Invite
If You Do Not Have a StandShare Account
If you are not signed in, the page shows a short registration form.
- Enter your Full Name.
- Enter your Email Address.
- Choose a Password.
- Click Register and Accept.
Your account is created and the invite is accepted in one step. You land on your Dashboard as a family lead (for a new-family invite) or on the family you were invited to help (for a help-my-family invite).
If You Are Already Signed In
If you are already signed into StandShare — possibly in a different org — you see an Accept / Decline prompt instead.
- Click Accept.
- StandShare adds you to the new org or family and takes you to your Dashboard.
If the org you are joining requires admin approval for new families, you land on a Pending approval screen — the org admin reviews your request before you have full access.
Decline the Invite
Clicking Decline marks the invite as rejected so it cannot be used again. Nothing else changes — no account is created, no email is sent, and you can leave the page.
After You Accept
What you see next depends on the invite intent:
- New family invite — your first stop is the Dashboard. If you still need to add students and guest workers, see Initial Organization Setup.
- Help-my-family invite — you land already attached to the family. The family lead can start assigning you to events immediately.
- Pending approval — an admin has to approve you. You will get a notification once they do. In the meantime, most features are locked.
Troubleshooting
"This invite has expired" — the invite passed its expiration date. Ask the inviter to send a new one.
"This invite has already been used" — single-use invites cannot be accepted twice. Ask for a fresh invite, or sign in if you already accepted this one earlier.
"This invite was revoked" — the inviter cancelled the invite before you used it. Ask whether they still want you to join and for a new invite.
"We could not find this invite" — the link is mistyped or the invite was deleted. Double-check the URL or ask for a new invite.
I accepted but I do not see anything — if your org requires admin approval, you are on a Pending approval screen. You will be notified when the admin reviews your request.
