Process scholarship requests as Treasurer

Admin Treasurer

When a family submits a scholarship request, it lands in your review queue. This guide walks you through every step from first look to final payment.

Open the Scholarship Queue

  1. In the top navigation, open the Admin section.
  2. Click Manage Scholarships.

You will see a page with summary cards at the top:

  • Pending Review -- requests waiting for your decision (with the total dollar amount).
  • Approved -- requests you have approved but not yet paid.
  • Paid -- requests that have been fully processed.
  • Total Shown -- the overall count of visible requests.

Use the controls above the request list to narrow things down:

  • Search bar -- type a family name, recipient name, payee, or purpose to find a specific request.
  • Status dropdown -- filter by Pending, Approved, Paid, Denied, Processing, or Cancelled.
  • Export CSV -- download the current filtered view as a spreadsheet.

Filter to Pending status first so you can focus on requests that need your attention.

Review a Request

Click any request card to open the detail modal. You will see:

PayeeThe organization or vendor that will receive the payment.
AmountThe dollar amount requested.
PurposeA description of what the scholarship covers.
Payment MethodHow the family prefers payment: Check to Program, Reimbursement, or Card Over Phone.
Additional InfoExtra details the family provided (receipts, phone numbers, etc.).
SubmittedThe date the request was created.

Approve a Request

If the request looks good:

  1. Click the green Approve button inside the detail modal -- or click the small Approve button directly on the card in the list view.
  2. The status changes to Approved and the family is notified.

You can also approve multiple requests at once. Filter to Pending, check the boxes next to each request, and click Approve N in the bulk-actions toolbar that appears.

Deny a Request

If the request cannot be approved:

  1. Click the red Deny button.
  2. A dialog appears asking for a Reason for Denial. This field is required.
  3. Type a clear explanation -- the family will see this reason.
  4. Click Deny Request.

The request moves to Denied status and the family receives a notification with your reason.

Process Payment (Mark as Paid)

After a request is approved, you need to process the actual payment outside of StandShare (write a check, call the vendor, etc.), then record it:

  1. Filter to Approved status or open the approved request's detail modal.
  2. You will see a text field for Payment Reference (for example, a check number or confirmation code). This is optional but recommended.
  3. Click Mark as Paid.

The status changes to Paid and the family can see the payment date and reference number in their scholarship history.

tip

You can also mark multiple approved requests as paid at once using the bulk-select checkboxes and the Mark N Paid toolbar button.

What the Family Sees

After you take action, the family's Scholarships page updates:

  • Active tab shows requests that are Pending or Approved.
  • History tab shows requests that are Paid or Denied.
  • Clicking a request shows a timeline with dates for each status change.
  • If denied, the family sees your denial reason.
  • If paid, the family sees the payment date and reference number.
