Get started as an Administrator
As an Administrator, you have full access to StandShare's management features. You can manage users, configure settlement templates, review documents across all families, monitor operations, and adjust system settings.
This guide covers the key areas you will use most often.
The Admin Navigation
As an Admin, your primary links are Dashboard, Events, and Admin Hub. The Admin Hub is a two-tier card layout that groups admin tools — documents, users, operations, settlement templates, branding, and more — in one place.
Other pages (Transactions, Documents, Scholarships, Calendar, Library, Announcements, Directory, Help, Feedback) live behind the overflow icon to the right of the primary links. Admin pages not surfaced on the Hub still appear in the overflow menu under an Admin heading.

Your avatar in the top-right opens a menu with profile, org switcher, and sign-out.
Managing Users
The Users page is your central hub for managing who has access to StandShare.
Viewing Users
- Open Admin Hub from the top navigation (or the overflow menu under Admin), then select Users.
- Browse the list of all registered users. Each entry shows the user's name, email, roles, status, and last login date.
Inviting New Members
- On the Users page, click Invite User.
- Enter the person's email address, first name, and last name.
- Select one or more roles to assign (e.g., Family Lead, Coordinator, Guest Worker).
- Click Send Invitation.
The invitee will receive an email with a link to register and join the organization.
Managing Roles and Status
- To change a user's roles, open their profile from the Users list and update their role assignments.
- User statuses include active, inactive, and suspended. Suspended users cannot sign in.
Configuring Settlement Templates
Settlement templates define how event revenue is split between families and organization funds.
- Open Admin Hub from the top navigation and select Settlement Templates.
- View existing templates or click Create Template to add a new one.
- For each template, configure:
- Fund name (e.g., General Fund, Board Fund)
- Rate type -- percentage or fixed amount
- Rate value -- the deduction rate
Templates are applied automatically when coordinators settle events.
Reviewing Documents (Admin Docs)
The Admin Docs page lets you review documents uploaded by any family in the organization.
- Open Admin Hub from the top navigation and select Admin Documents.
- Browse or search for documents by family, document type, or status.
- Approve or reject submissions as needed.
Operations Dashboard
The Operations page provides a high-level view of your organization's activity.
- Open Admin Hub from the top navigation and select Operations.
- Review metrics including total accounts, event activity, financial summaries, and compliance rates.
Use this page to identify families with missing documents, events that need settlement, or unusual account activity.
System Settings
The Settings page (accessible from your profile area) includes:
- Notification Preferences -- Control which email notifications are sent (scholarship updates, document reminders, event assignments, monthly statements).
- Password Management -- Change your account password.
- Fund Settings (Admin only) -- Adjust default fund deduction percentages for the General Fund and Board Fund.
To access Settings:
- Click your profile name or avatar in the top-right corner of the navigation.
- Select Settings, or navigate directly to the Settings page.
Day-to-Day Admin Tasks
Here is a typical workflow for administrators:
- Check the Operations Dashboard for any items that need attention.
- Review pending scholarship requests on the Scholarships page.
- Manage user invitations as new families join the organization.
- Review uploaded documents in Admin Docs and approve or follow up on missing items.
- Monitor event settlements to ensure coordinators are settling events promptly.
