Run financial reports as Treasurer

Admin Treasurer

The Reports page gives you a complete view of your organization's financial data. You can view balances, drill into transactions, review scholarship activity, spot outstanding issues, and audit every change.

Opening the Reports Page

  1. In the top navigation, open the Admin section.
  2. Click Reports.

You will see a row of tabs across the top. Each tab is a different report type.

Report Tabs Overview

TabWhat it shows
Family BalancesEvery family's current account balance, sortable and searchable.
TransactionsIndividual credit and debit line items across all families.
ScholarshipsAll scholarship requests with amounts, statuses, and dates.
OutstandingFamilies with overdue or negative balances that need attention.
Audit LogA chronological record of every financial change and who made it.
Worker PerformanceEvent participation and earnings by worker.

Family Balances

This is usually your starting point. When you open this tab you will see:

  • Summary cards at the top: Total Families, Total Balance, Average Balance, and Negative Balances.
  • A searchable table listing every family with their program, status (active/inactive), and current balance.

How to use it:

  1. Type a family name or program in the search bar to filter.
  2. Click the Family or Balance column header to sort ascending or descending.
  3. Click Export CSV to download the data.
tip

Sort by Balance ascending to quickly find families with negative balances that may need follow-up.

Transactions

This tab shows every individual transaction. You can filter by:

  • Transaction type -- Event Commission, Scholarship Payment, Membership Fee, Manual Credit, Manual Debit, or Settlement Reversal.
  • Date range -- Use the start and end date pickers to narrow the time window.
  • Search -- Filter by family name or description text.

The summary cards show Total Transactions, Total Credits, Total Debits, and Net Change for your current filters.

Click Export CSV to download the filtered transaction list.

Scholarships

This tab provides a reporting view of all scholarship activity:

  • Summary cards: Total Requests, Total Amount, Paid Amount, and a breakdown by status.
  • Filters: Status (Pending, Approved, Paid, Denied), date range, and free-text search.
  • Table columns: Date, Family, Recipient, Payee, Purpose, Status, and Amount.

Click Export CSV to download.

Outstanding Balances

This tab highlights families that may need attention -- for example, accounts with negative balances or unpaid obligations. Use it during board meetings or end-of-season reviews.

Audit Log

Every financial change in StandShare is logged. The Audit Log tab shows:

  • Who made the change.
  • What changed (the action taken).
  • When it happened (timestamp).

This is useful for reconciliation, board reporting, and answering questions about specific transactions.

note

The audit log is read-only. No one can edit or delete entries.

Exporting Data

Every report tab has an Export CSV button. The export always reflects your current filters, so narrow down the data first, then export. The file downloads immediately to your computer.

You can also use the Print button in the top-right corner of the Reports page to generate a printer-friendly version of the current view.

Tips for Monthly Reviews

  1. Start with Family Balances -- check for negative balances.
  2. Switch to Transactions -- filter by the current month to see all activity.
  3. Check Scholarships -- make sure nothing is stuck in Pending for too long.
  4. Review the Audit Log if any numbers look unexpected.
  5. Export what you need and share with your board.
