View the Org Ledger
The Org Ledger page gives treasurers and admins a single view of every ledger account in the organization — org accounts, family accounts, and fund accounts — and the entries that make them up. Every entry links back to the record that created it (event settlement, scholarship, manual adjustment) so you can trace the number to its source in one click.
Open the Org Ledger
- Sign in as an Org Admin or Treasurer.
- Open the overflow menu and choose Ledger under the Admin section.
The page opens with the active period selected. The header shows the period name badge — see Manage ledger periods for how to switch periods.
Ledger requires the Ledger: View permission. Operator-side users are blocked from this page entirely.
Pick an Account
The Account Selector dropdown at the top of the page groups accounts by type:
- Org accounts — the organization's own accounts (Operating, Disbursement, etc.).
- Family accounts — one per family, showing their current balance.
- Fund accounts — General Fund, Board Fund, Insurance Fund, and any custom funds.
Choose an account to load its entries. Your selection persists in the URL so you can bookmark or share a link to a specific account view.
Read the Entry Table
The entry table shows:
- Date — when the entry posted.
- Description — short summary (for example, "Event: Homecoming Game" or "Scholarship payout to Acme Dance").
- Amount — credit (positive, green) or debit (negative, red).
- Running balance — balance after this entry.
- Linked record — a chip pointing to the underlying event, family, settlement, or scholarship. Click it to open that record.
Filters
Use the filter controls above the table to narrow the view:
- Date range — limit to a specific window within the selected period.
- Entry type — credit, debit, or both.
- Source — settlement, scholarship, manual adjustment, carry-forward, etc.
- Search — free-text search against description.
All filter state is saved in the URL — hit refresh or share the link and the same filters reapply.
Pagination
Large accounts page instead of scrolling forever. Use Next / Previous at the bottom of the table or change the page size with the selector.
Drill Down to Linked Records
Every entry points back to the action that generated it. Clicking the linked record chip opens:
- Event — the event detail page, with its stands, roster, and settlement drawer.
- Family — the family detail modal with balance, contact info, and event history.
- Settlement — the settlement run that produced this entry.
- Scholarship — the scholarship request and its approval trail.
This is the fastest path from a number on a report to the conversation that explains it.
Switch Periods
The header badge shows the currently selected period. When viewing a closed period, a yellow read-only banner appears — no new entries can be added here (see Manage ledger periods).
To move between periods:
- Click the gear icon next to the period badge (requires Ledger: Manage).
- In the Period History section, click a closed period row, or click Return to active period.
Exports
Most teams use the Org Ledger view for on-screen audit work and fall back to the Financial Reports page when they need a full export. See Generate Financial Reports for CSV and summary tools.
