Post announcements to your members

This guide shows Admins how to create announcements, target them to specific audiences, set priority levels, and manage published announcements.

What Are Announcements?

Announcements are messages displayed to users when they sign in to StandShare. They are used to communicate important information such as:

  • Upcoming event reminders.
  • Policy changes or organizational updates.
  • Deadlines for document submissions.
  • Seasonal schedules or event calendars.

Announcements can be targeted to all users or to workers assigned to specific events.


Create an Announcement

  1. Navigate to Admin > Announcements from the sidebar.
  2. Click + New Announcement.
  3. Fill in the announcement details:
    • Title -- A short, descriptive headline (e.g., "Homecoming Event Reminder").
    • Content -- The full message body. You can use basic formatting (bold, italics, links).
  4. Configure the targeting and priority (see sections below).
  5. Click Publish to make the announcement visible immediately, or Save as Draft to publish later.

Target the Audience

Announcements can be shown to everyone or scoped to specific groups:

All Users

  1. In the Target Audience section, select All Users.
  2. Every active user will see the announcement upon signing in.

Specific Events

  1. In the Target Audience section, select Specific Events.
  2. A multi-select dropdown appears listing all upcoming and active events.
  3. Select one or more events.
  4. Only users who are assigned as workers to the selected events will see the announcement.
tip

Use event-targeted announcements for event-specific instructions, such as parking details, shift times, or special procedures for a particular venue.


Set Priority

Priority determines how prominently the announcement is displayed:

PriorityDisplay Behavior
LowShown in the standard announcements area. Blends in with other content.
NormalShown with standard emphasis. This is the default.
HighHighlighted with a colored banner (typically yellow or orange) to draw attention.
UrgentDisplayed as a prominent alert banner at the top of the page. Cannot be dismissed until acknowledged.

To set priority:

  1. In the announcement form, find the Priority dropdown.
  2. Select the appropriate level.

Use Urgent priority sparingly. If too many announcements are marked urgent, users may begin to ignore them. Reserve urgent priority for time-sensitive or safety-critical information.


Publish an Announcement

After filling in the details:

  1. Click Publish to make the announcement immediately visible to the target audience.
  2. The announcement appears in the Published list.

Publish a Draft

If you saved an announcement as a draft:

  1. Find it in the Drafts tab on the Announcements page.
  2. Click on the draft to open it.
  3. Review and edit if needed.
  4. Click Publish.

Edit an Announcement

  1. Navigate to Admin > Announcements.
  2. Click on the announcement you want to modify.
  3. Click Edit.
  4. Make your changes to the title, content, target audience, or priority.
  5. Click Save Changes.

Changes take effect immediately for published announcements. Users who have already seen the original version will see the updated version on their next sign-in.


Archive an Announcement

When an announcement is no longer relevant:

  1. Navigate to Admin > Announcements.
  2. Find the announcement in the Published list.
  3. Click Archive (or the archive icon).
  4. The announcement is moved to the Archived tab and is no longer shown to users.

Archived announcements are retained for record-keeping. You can view them at any time by switching to the Archived tab.

tip

Set a calendar reminder to archive event-specific announcements after the event is completed. Stale announcements reduce user trust in the platform.


Delete an Announcement

To permanently remove an announcement:

  1. Navigate to the Archived or Drafts tab.
  2. Click on the announcement.
  3. Click Delete.
  4. Confirm the deletion.

Deleting an announcement is permanent and cannot be undone. Archive announcements instead if you might need them for reference later.
