Assign and manage event workers

Admin Coordinator

The worker roster for an event shows every assigned worker, their stand, role, and attendance status. Coordinators and Admins can make assignment changes at any point — before, during, and after the event (until settlement).


Access the Worker Roster

  1. Sign in with a Coordinator or Admin account.
  2. Navigate to Events and click the event you want to manage.
  3. On the Event Detail page, click Manage Roster to open the Roster drawer. Every assignment, check-in, and attendance action now lives here — including the Check-In and Mark All Attended buttons that used to sit on the Event Detail page.

Add a Worker to an Event

  1. In the Roster drawer, click + Assign Worker.
  2. Search for the family or user you want to assign.
  3. Optionally:
    • Select a Stand from the dropdown.
    • Select a Role (e.g., Cashier, Runner, Supervisor).
  4. Click Assign.

The worker is added to the roster with an initial status of Assigned.

You can assign the same worker to multiple stands for events that require workers to move between locations, but do so carefully as it may complicate attendance tracking.


Assign a Worker to a Specific Stand

If a worker is already on the roster without a stand:

  1. Find the worker in the roster list.
  2. Click the Stand field (or click Edit on the assignment row).
  3. Select the desired stand from the dropdown.
  4. Click Save.

Swap a Worker Between Stands

To move a worker from one stand to another:

  1. Find the worker in the roster list.
  2. Click Edit on their assignment row.
  3. Change the Stand to the new location.
  4. Click Save Changes.

Change a Worker's Role

  1. Find the worker in the roster list.
  2. Click Edit on their assignment row.
  3. Update the Role field.
  4. Click Save Changes.

Update Attendance Status

After the event takes place, update each worker's attendance to reflect actual participation:

  1. Find the worker in the roster.
  2. Click the Attendance dropdown next to their name.
  3. Select the appropriate status:
StatusWhen to Use
AssignedWorker is scheduled; event has not happened yet.
ConfirmedWorker confirmed they will attend.
AttendedWorker was present at the event.
No ShowWorker did not show up.
CancelledAssignment was cancelled before the event.

Only workers with Attended status receive a payout during settlement. Review and finalize attendance before running settlement.

Bulk Attendance Update

For events with many workers, use the bulk attendance tools:

  1. Click Bulk Update in the Worker Assignments section.
  2. Use the Mark All as Attended button if all workers were present, then individually change any exceptions.
  3. Alternatively, use the checkboxes to select multiple workers and choose Set Status from the bulk action menu.

Remove a Worker from an Event

  1. Find the worker in the roster.
  2. Click Remove (or the trash icon) on their row.
  3. Confirm.

If the event has a waitlist, removing a worker from a confirmed status may trigger auto-promotion for the first waitlisted person.


View Roster Summary

At the top of the Worker Assignments section, a summary shows:

  • Total assigned — Number of workers on the roster.
  • Confirmed — Number who have confirmed.
  • Stand coverage — Whether all stands have the required number of workers.

Use this summary to quickly identify understaffed stands before the event.


  1. Click Export Roster in the Worker Assignments section.
  2. Choose CSV (spreadsheet) or PDF (printable).
  3. The file downloads with the full roster including names, stands, roles, and attendance status.
