Monitor check-ins during an event

The Check-In Dashboard gives coordinators a real-time view of who has arrived at a concession stand event. It updates automatically as workers scan their QR codes, so you always know your staffing status at a glance.

Prerequisites

Before opening the dashboard, a check-in session must be initialized and set to active for the event. If no session exists, the dashboard will show an error rather than live data.

Opening the Dashboard

  1. Navigate to the event you want to monitor (from the Events page or Calendar).
  2. Click the Check-In Dashboard link for that event.
  3. The dashboard opens with a live connection to the server.

You will see a green Live indicator in the upper right when the connection is active. If it shows "Connecting...", the dashboard is attempting to reconnect.

Stats Row

At the top of the dashboard you will see three stat cards:

No ShowThe number of expected workers who have not checked in yet.
Late ArrivalsWorkers who checked in after the expected start time.

These numbers update in real time as new scans come in.

Gap Alerts

If any concession stand is below minimum staffing, you will see orange warning banners at the top of the page. Each alert shows:

"Stand Name: below minimum staffing"

Gap alerts help you take action quickly -- you can reassign workers from an overstaffed stand or call in substitutes.

Coverage Grid

The Coverage by Stand section shows a list of every stand (or station) configured for the event. For each stand you see:

  • Stand name -- with a warning icon if it has a staffing gap.
  • Checked in / Expected -- for example, "3/5" means 3 out of 5 expected workers have arrived.
  • Progress bar -- a visual fill showing the percentage of workers who have checked in.

Stands with significant gaps are highlighted so they stand out.

Arrival Timeline

The Arrival Timeline is a small bar chart that shows check-in activity over time. Each bar represents a 15-minute window. Taller bars mean more check-ins happened during that period.

This helps you see patterns -- for example, whether most workers arrive right at the start or trickle in over the first hour.

Real-Time Check-In Feed

Below the coverage grid and timeline, you will see a scrolling list of every check-in as it happens:

  • Worker name and photo (avatar).
  • Organization they belong to (if applicable).
  • Stand they are assigned to.
  • Time of their scan.
  • Late badge -- shown in red if the worker arrived after the expected start time.

Searching the Feed

Use the search box above the feed to filter by worker name, organization, or stand. This is helpful when you need to quickly confirm whether a specific person has arrived.

Exporting Check-In Data

Click the Export CSV button in the upper right to download all check-in data for this event. The export includes:

  • Name
  • Organization
  • Stand
  • Time
  • Late status (Yes/No)

This is useful for post-event reporting and reconciliation.

Attendance Verification

Every check-in and check-out recorded through the dashboard now carries verification metadata — a record of who performed the action, what method was used, the exact timestamp, and what type of device was involved.

This happens automatically. Coordinators do not need to take any extra steps — the metadata is captured in the background on every attendance flip, whether it comes from a QR scan, a manual toggle, or the PWA scanner.

Viewing Verification Details

To review the verification metadata for a specific check-in:

  1. Navigate to the event detail page.
  2. Click the Audit Log tab.
  3. Find the check-in entry you want to review.
  4. The log shows the method used, who performed the action, and the exact timestamp.

The audit log is most useful after an event if you need to confirm how a specific check-in was recorded — for example, if a worker disputes their attendance status.

Tips for Event Day

  1. Open the dashboard on a tablet or laptop and keep it visible at the main check-in station.
  2. Watch the gap alerts -- if a stand is short-staffed, you have time to reassign workers before the event gets busy.
  3. Use the search if a worker says they scanned but you cannot find them in the feed.
  4. Export the CSV after the event for your records.

The dashboard works alongside the Scanner PWA. The scanner is what workers use to check in; the dashboard is what coordinators use to monitor the overall picture.
