Cancel an event

Use soft-cancel when an event is not going to happen but you need to keep the record — for reporting, auditing, or simply because you want a history of what was planned. Cancelling an event does not delete it.

Cancelled vs. deleted: A cancelled event stays visible in your event list, clearly marked, and retains all worker assignments and notes. A deleted event is permanently removed and cannot be recovered. If you are unsure, cancel — you can always review the history later.

Cancel an event

  1. Navigate to Events from the main navigation.
  2. Click the event you want to cancel to open its Event Detail page.
  3. Click the More actions menu (the three-dot icon near the top of the page).
  4. Select Cancel Event.
  5. In the confirmation dialog, review the event name to make sure you have the right event.
  6. Click Confirm Cancellation.

The event status changes to Cancelled immediately. Assigned workers are notified automatically.

Cancellation cannot currently be reversed through the app. If you cancelled an event by mistake, contact your StandShare administrator to have it restored.

What happens to assigned workers

When you cancel an event, StandShare notifies every worker who had an active assignment:

  • Workers receive a notification (in-app and by email, based on their notification preferences) letting them know the event has been cancelled.
  • Assignments remain attached to the event record and are visible in the event detail, but they are marked inactive. Workers are no longer counted as scheduled for that date.
  • No-show and attendance records are not created for cancelled events. Workers are not penalized for an event that was cancelled.

If you need to communicate additional context — a rescheduled date, a reason for cancellation, or next steps — use the Event Message Board before cancelling, or send a direct message through the announcements tool.

How cancelled events appear in lists

Cancelled events are not hidden — they remain in your events list with a few visual distinctions:

  • The event card shows a Cancelled badge instead of the usual lifecycle status.
  • Cancelled events appear greyed out and are sorted separately from active and upcoming events.
  • Filter tabs that count upcoming or active events (such as "This Week") exclude cancelled events from their counts.
  • Settlement and reporting workflows skip cancelled events automatically — they will not appear in settlement queues or active financial reports.

To see only cancelled events, open the filter sheet on the Events list and filter by status Cancelled.

Cancelled events in reporting

Cancelled events are kept for audit and historical purposes:

  • They appear in event history exports and in the admin audit log.
  • Family earnings reports exclude earnings from cancelled events (since no settlement ever ran).
  • If your organization tracks planned vs. actual events, cancelled events provide an accurate picture of what was scheduled but did not happen.
