Mark attendance for multiple workers at once
This guide is for Coordinators and Admins who need to record attendance for workers at a concession stand event. StandShare lets you update each worker's attendance status individually from the event roster.
You need the Record Attendance or Event Management permission to update attendance. If you do not see the edit controls described below, contact your organization's admin.
Opening the Event Roster
- Navigate to Events from the main sidebar.
- Click the event card to open its Event Detail page.
- Click Manage Roster to open the Roster drawer. This is where every assignment and attendance action lives — including Check-In and Mark All Attended, which moved here alongside the per-row edit controls.
The roster displays each worker's name, family, role assignment, stand, and current attendance status.
Understanding Attendance Statuses
Each worker has one of these attendance statuses:
| Status | Meaning |
|---|---|
| Assigned | Worker is scheduled but has not confirmed or attended yet. This is the default. |
| Confirmed | Worker has confirmed they will attend. |
| Attended | Worker was present at the event. Only workers with this status receive payouts during settlement. |
| No Show | Worker did not attend. Depending on your organization's settings, this may result in a debit. |
| Cancelled | The assignment was cancelled before the event took place. |
Updating Attendance for a Worker
- In the roster, find the worker whose attendance you want to update.
- Click the Edit (pencil) icon on their row.
- The row switches to edit mode, showing dropdown fields.
- Select the new attendance status from the attendance dropdown (Assigned, Confirmed, Attended, No Show, or Cancelled).
- Optionally update the worker's stand or role assignment at the same time.
- Click Save to apply the change.
- To cancel without saving, click Cancel.
Repeat this process for each worker. The attendance summary cards at the bottom of the roster update automatically as you make changes.
Marking Attendance Efficiently
When recording attendance for a full event, here is a recommended workflow:
- Start with the roster view -- review the full list of assigned workers.
- Work through the list -- click Edit on each worker, set their status, and save.
- Handle no-shows last -- first mark everyone who attended, then go back and mark anyone remaining as No Show.
- Check the summary cards -- the roster shows totals for each status (Total, Attended, Assigned, Confirmed, No Show, Cancelled). Use these to verify your counts look right.
Handling No-Shows
Workers marked as No Show did not attend the event. This is important because:
- No-show workers do not receive a payout during settlement.
- The no-show count is tracked on the event roster summary and the check-in dashboard.
- Depending on your organization's configuration, no-shows may incur a financial debit to the family's account.
Make sure to mark no-shows accurately before settling the event.
Using QR Check-In Instead
For large events, consider using StandShare's QR check-in system instead of manually marking attendance. Workers scan their QR credentials as they arrive, and attendance is recorded automatically. You can still manually adjust statuses afterward if needed.
Exporting Attendance Data
After marking attendance, you can export the roster data:
- From the event roster, click the Export CSV button.
- A CSV file downloads containing worker names, families, roles, stands, and attendance statuses.
This export is useful for record-keeping and can be shared with your organization's treasurer.
Tips
- Mark attendance on the same day as the event while it is still fresh in your memory.
- Double-check your no-show count before settling -- settlement payouts are based on attendance status.
- If a worker arrived late but was present, mark them as Attended (the QR check-in dashboard will show their late arrival separately).
- Settled events lock certain fields. Make sure attendance is accurate before running settlement.
