Create a private payee for your family
If your family regularly sends scholarships to a specific vendor — a dance studio, a tutoring service, a camp — but the rest of your org does not, you can create a private payee tied only to your family. Private payees live alongside the org's shared payee list but are visible only to you and to org admins.
When a private payee turns out to be useful to other families, an admin can promote it to tenant-wide with one click.
Who can do what

payees.create_own is included in the Family Lead role by default.
Create a Private Payee
- Start a new scholarship request (see Submit a scholarship request).
- In the Payee dropdown, click + Add New Payee.
- The Create Payee modal opens in family mode — only the fields relevant to families are shown:
- Name (required)
- Email, Phone, Website
- Addresses (optional)
- Click Save.
The payee is saved with visibility: private and ownedByFamilyId set to your family. It appears in your Payee dropdown with an amber Yours chip so you can tell at a glance which payees are private to you.
Family mode hides admin-only fields (tax ID, admin notes, logo upload, payment settings). Admins who need those fields filled in can edit the payee later or promote it first.
Using a Private Payee
A private payee behaves like any other payee when you select it on a scholarship request. The request, its approval flow, and the payout all work exactly the same — the only difference is that the payee is invisible to other families' leads in your org.
Name collisions are also scoped: if another family creates a payee with the same name as one of yours, both are allowed — StandShare dedups within your family only.
Admin Promotion
If a family's private payee would clearly be useful to the whole org, an admin with payees.manage can promote it.
- Open Manage Payees from any scholarship page.
- In the drawer, private payees show with the amber Yours chip.
- Click Promote on the payee row.
- Confirm in the dialog.
After promotion:
- The payee becomes
visibility: tenantand loses its family ownership. - The Yours chip disappears — the visual signal that this payee is now shared org-wide.
- Every family in the org sees it in their Payee dropdown.
- Existing scholarship requests continue to resolve correctly against the same record.
Promotion is one-way. There is no "demote back to private" — if a promotion was a mistake, create a new private payee or deactivate the promoted one.
Troubleshooting
"+ Add New Payee" is missing — your role does not have payees.create_own. Ask your org admin to grant it or to add the payee for you.
The Yours chip is missing on a payee I created — the payee was promoted to tenant-wide by an admin. It is still available to you; it is just no longer private.
I want to edit a private payee — click the payee in the Manage Payees drawer (family mode shows your own payees). You can update the same fields you created it with.
