Manage subscription plans and pricing
The Tier Catalog in the Platform Admin portal gives you a read-only view of every subscription tier available on the platform — what features each tier unlocks and how many organizations are currently on it. Individual tenant tier assignments (overrides, trial grants, and history) are managed from the Tenants page.
Understanding the Tier Ladders
StandShare uses two separate tier ladders depending on the organization type:
NPO tiers (for nonprofit / family-account organizations):

An organization's base tier reflects its contracted subscription. Its effective tier may differ when an active trial is running — the effective tier determines the features the organization can actually access.
Viewing the Tier Catalog
- Sign in to the Platform Admin portal at
admin.standshare.app. - Click Tiers in the sidebar.
- The page opens on the NPO Tiers tab. Click Org Tiers to switch to the venue/operator ladder.
Each tier is displayed as a card showing:
- The tier name and internal key
- The number of organizations currently on that tier
- The list of feature gates unlocked at that tier
The tier catalog is read-only. Feature gate definitions are managed at the database level and are not editable through the admin UI. Contact the engineering team to add or modify feature gate entries.
Managing Individual Tenant Tier Assignments
All per-tenant tier actions are on the Tenants page, under the Tier Assignments tab.
Navigating to Tier Assignments
- Click Tenants in the sidebar.
- Click the Tier Assignments tab (next to the default Tenants list tab).
The table shows every organization with its current base tier, effective tier, billing status, and trial expiry date. Use the filter dropdowns to narrow results by org type, tier, or billing status. Click Clear filters to reset.
Overriding an Organization's Tier
Use a tier override to immediately move an organization to a different tier, bypassing normal billing rules. This is appropriate for pilot programs, partner agreements, and manual corrections.
- In the Tier Assignments table, find the organization and click Override Tier.
- In the slide-over panel, select the Target Tier from the dropdown. The available tiers depend on the organization's type (NPO or venue).
- Review the impact preview banner — it shows how the organization's feature access will change.
- Enter a Reason for the override (minimum 10 characters). This is stored in the audit log.
- Optionally enter a Custom Price note (for example,
$0 during pilot period). This note is admin-only and is never sent to the organization. - Check the confirmation checkbox to confirm you understand the change takes effect immediately.
- Click Apply Override.
After a successful override, the panel switches to the Change History tab so you can confirm the new audit entry.
Granting a Trial at a Higher Tier
Use trial grants for sales evaluations, partner onboarding, and re-grant scenarios. Admin-initiated trial grants bypass the one-trial-per-tier eligibility rule that applies to self-service trials.
- In the Tier Assignments table, find the organization and click Grant Trial.
- Select the Trial Tier from the dropdown. The dropdown defaults to the next tier above the organization's current base tier.
- Set the Duration in days (1–365, defaulting to 30). A preview shows the computed expiry date.
- Enter a Reason for the grant (minimum 10 characters). Stored in the audit log.
- Check the confirmation checkbox.
- Click Grant Trial.
The organization's effective tier updates immediately to reflect the trial tier. When the trial expires, the effective tier returns to the base tier automatically.
Viewing Tier Change History
Every tier change — overrides, trial grants, trial expirations, and Stripe-driven events — is recorded in an append-only audit log.
- In the Tier Assignments table, click a row or click the History button for the organization.
- The Change History tab shows a chronological timeline of all changes.
Each entry shows:
- A color-coded badge for the change type (upgrade, downgrade, trial start, trial expired, admin override)
- The tier transition (for example, Standard → Full)
- The reason text entered at the time of the change
- An "Automated system event" note for changes triggered by the system rather than an admin
- A Show metadata link for entries that carry extra context (Stripe event IDs, admin notes)
Billing Status Reference
| Status | Meaning |
|---|---|
| Active | Subscription is current |
| Trialing | Organization is in an active trial period |
| Past Due | Payment failed; grace period applies |
| Canceled | Subscription has been canceled |
Organizations in Past Due status retain their current tier during the grace period (default: 7 days). After the grace period, access may be restricted depending on platform configuration.
