Post notices and training for venue workers

Venue notices let you communicate important information to workers at your managed venues. You can post informational updates, require written acknowledgment, or link to training modules that workers must complete before working an event.

Notice Types

StandShare supports three types of venue notices:

  • Informational -- General updates or announcements. Workers can read them but no action is required.
  • Acknowledgment Required -- Workers must read the full notice and confirm they understand it before they are considered compliant.
  • Training -- Notices that link to training modules. Workers must complete the associated training to satisfy the requirement.

Viewing the Notice List

To see all venue notices, go to Venue Notices from the operator sidebar.

The notice list displays each notice in a table with these columns:

  • Title -- The name of the notice.
  • Type -- Informational, Acknowledgment, or Training.
  • Status -- Draft, Published, or Archived.
  • Version -- The current version number (incremented when you edit a published notice).
  • Created -- The date the notice was first created.

Searching and Filtering

Use the toolbar above the table to narrow down your list:

  • Search box -- Type a keyword to filter notices by title.
  • Status filter -- Show only Draft, Published, or Archived notices.
  • Type filter -- Show only Informational, Acknowledgment, or Training notices.

If you have more than 20 notices, use the pagination controls at the bottom of the table to move between pages.

Creating a New Notice

  1. Select + New Notice in the top-right corner of the notice list.
  2. Fill out the notice form:
    • Title -- A clear, descriptive name.
    • Type -- Choose Informational, Acknowledgment Required, or Training.
    • Body -- The main content of the notice. Rich text formatting is supported.
    • Recurrence -- Choose "One Time" or "Recurring" depending on whether workers need to re-acknowledge periodically.
    • Expiry -- Optionally set the number of days before an acknowledgment expires.
    • Grace Period -- The number of days workers have to complete the acknowledgment after it becomes required.
    • Audience -- Choose who should see this notice: all groups, specific groups, or specific positions.
    • External Links -- Add links to related resources.
    • Attachments -- Upload supporting documents.
  3. Select Save to create the notice as a draft.

Notices are saved in Draft status. They are not visible to workers until you publish them.

Viewing Notice Details

Select any notice in the list to open its detail view. The detail page shows:

  • The full notice content.
  • Metadata cards for recurrence, expiry, grace period, and audience scope.
  • Any external links and attachments.
  • The publication date (if published).

From the detail view, you can:

  • Select Edit to modify the notice.
  • Select Publish to make a draft notice live (visible to workers).
  • Select Back to notices to return to the list.

Publishing a Notice

You can publish a notice from two places:

  • From the list -- Select the Publish button in the actions column next to any draft notice.
  • From the detail view -- Select the Publish button in the top-right corner.

Once published, the notice becomes visible to workers in its target audience. Published notices can still be edited, which increments the version number.

Deleting a Notice

Only draft notices can be deleted. In the notice list, select Delete next to the draft you want to remove. You will be asked to confirm before the notice is permanently deleted.

Published or archived notices cannot be deleted. If you no longer need a published notice, archive it instead.

How Workers Acknowledge Notices

When a worker opens an acknowledgment-required notice, they see the full content in a scrollable area. They must scroll to the bottom of the content before the I Acknowledge button becomes active.

After selecting I Acknowledge, a confirmation dialog appears asking them to confirm they have read and understood the notice. Once they select Confirm, the acknowledgment is recorded with a timestamp.

Workers who have already acknowledged a notice see a confirmation message instead of the acknowledgment form.

Accessing Venue-Required Training

For notices of type Training, the notice content includes links to the associated training module. Workers can follow these links to access the training material directly from the notice.

Training completion is tracked separately and contributes to the worker's overall compliance status. See Operator Compliance Dashboard for details on monitoring compliance across your workforce.

Tips

  • Use Informational notices for general updates that do not require a response.
  • Use Acknowledgment Required for safety policies, code of conduct, or any policy where you need a record that each worker has read and agreed.
  • Set a grace period to give workers time to complete acknowledgments after a new notice is published.
  • If a policy changes, edit the published notice. The version number increments and workers who previously acknowledged will need to re-acknowledge the updated version.
